Saint Lucia’s National Insurance Corporation states that employers are responsible for paying contributions on behalf of employees from the start of employment. Keeping complete payroll records helps employers support those contributions and respond when information is requested.
Keep complete employee details.
Maintain each employee’s correct name, NIC and tax identification details, employment start date, role, agreed pay, and any relevant changes. Record the date and reason when employment ends.
Retain the figures behind every pay period.
Payroll records should show gross pay, overtime, allowances, deductions, statutory amounts, net pay and the payment date. Retain the approved payroll summary together with evidence that employees were paid.
Keep filing and payment evidence together.
Store NIC and PAYE schedules, submission confirmations, receipts and correspondence by period. This makes it easier to confirm what was reported and identify missing or duplicated payments.
Compare payroll totals with bank payments, statutory schedules and the accounting records while the information is still current.
Protect payroll information.
Payroll records contain sensitive personal and financial information. Limit access, use secure storage and avoid sending employee documents through unsecured channels.
Check current rates, forms and deadlines.
Rates and administrative requirements may change. Confirm the current position with NIC, the Inland Revenue Department or your accountant before acting.
